Privacy Policy

1. Who We Are

SpicedCoach (“we,” “us,” “our”) operates the SpicedCoach sales coaching platform. Our contact address is support@spicedcoach.com.

2. Data We Collect

We collect the following categories of personal data:

  • Account data: Your email address, used for authentication and report delivery.
  • Transcript content: Call transcripts you voluntarily submit for analysis. These may contain names, job titles, and other information about sales call participants.
  • Analysis results: Coaching scores, summaries, and coaching points generated by our AI from your transcript.
  • Usage metadata: Timestamps, call identifiers (SHA-256 hashes), and application activity logs used for service operation and debugging.

We do not collect payment card numbers directly; payment processing (if applicable) is handled by third-party providers subject to their own privacy policies.

3. How We Use Your Data

We use the data we collect exclusively to:

  • Analyze call transcripts and generate coaching reports using AI
  • Deliver reports to you by email or within the application
  • Maintain your call history and allow you to retrieve past analyses
  • Operate, maintain, and improve the SpicedCoach service
  • Respond to support requests

We do not sell your data to third parties. We do not use your transcripts or analysis results to train AI models. We do not use your data for advertising.

4. AI Processing

Transcript content is sent to the Anthropic Claude API for analysis. Anthropic processes this data as a data processor acting on our behalf, subject to Anthropic’s API data usage policies. We have a data processing agreement with Anthropic. Anthropic does not use API-submitted data to train its models by default. For more information, see Anthropic’s Privacy Policy.

5. Data Retention

Transcript content is retained for 90 days from the date of submission. After 90 days, the raw transcript text is automatically deleted from our systems. The call analysis results (scores, coaching points, summaries) derived from the transcript are retained for 12 months from the date of analysis.

Account data is retained for as long as your account is active. Upon account deletion, all associated data is deleted within 30 days.

You may request early deletion of any data by contacting support@spicedcoach.com.

6. Data Sharing

We share data only with the following categories of third parties, all acting as data processors:

  • Anthropic: Receives transcript content for AI analysis.
  • Clerk: Handles user authentication and account management.
  • Resend: Used to deliver reports by email when you request email delivery.
  • Cloud infrastructure providers: Host our databases and application servers.

We do not share your data with your employer, your company’s CRM, or any sales tool without your explicit instruction.

7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Right of access: Request a copy of the personal data we hold about you.
  • Right of erasure:Request deletion of your personal data (the “right to be forgotten”).
  • Right of portability: Request your data in a machine-readable format.
  • Right to rectification: Request correction of inaccurate data we hold about you.
  • Right to object: Object to the processing of your data in certain circumstances.

To exercise any of these rights, contact us at support@spicedcoach.com. We will respond within 30 days. EU/EEA users have additional rights under the General Data Protection Regulation (GDPR). If you believe your rights have not been respected, you have the right to lodge a complaint with your local data protection authority.

8. Cookies and Tracking

SpicedCoach uses session cookies required for authentication. We do not use third-party advertising cookies or cross-site tracking technologies.

9. Security

We use industry-standard security measures including encrypted connections (HTTPS), encrypted database storage, and access controls. No method of transmission over the internet is 100% secure; we encourage you not to submit transcripts containing highly sensitive personal information beyond what is typical for a B2B sales conversation.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email. The date at the top of this document indicates when it was last revised.
